Occupational health and safety requirements are a core part of qualification and internal classification files for many contractors and service providers working on water projects. A good file needs more than a safety policy or an ISO certificate: it requires documented procedures and actual examples from previous projects demonstrating implementation in practice.
The following checklist supports practical preparation based on requirements commonly requested in National Water Company client files. Items may change or be added depending on the activity, project or updates from the relevant entity.
Attach the company’s current health, safety and environmental management organization chart, showing the safety manager’s administrative and technical reporting lines and responsibilities within the business.
Prepare CVs for occupational health and safety representatives showing qualifications and experience, and specify the number of safety representatives relative to workers on each project.
Attach the company’s occupational health and safety policy, approved and signed by the general manager or an authorized officer.
Attach an official, documented copy of the occupational health and safety management regulations in line with the legal requirements applicable to the business’s activity.
Prepare three examples from previous work or projects listing risks and control measures. Varied examples are preferable.
Attach a documented procedure showing that all workers, including new workers, receive appropriate training, with a register of trained employees and the courses they completed.
Attach a valid, current ISO 45001 occupational health and safety management system certificate, ensuring the business details and certification scope are clear.
Prepare a documented procedure for providing suitable personal protective equipment, with an example showing workers’ names, tasks and the equipment issued to them.
Attach a procedure explaining how permits for hazardous work are implemented, with three examples of actual safety permits from previous work.
Attach a safety and emergency response plan, with a practical example from a previous project showing how potential incidents or emergencies are addressed.
Provide a documented procedure for reporting and investigating occupational incidents and injuries, with a sample or copy of a previous incident report where available and appropriate.
Attach occupational injury statistics issued by the General Organization for Social Insurance for the previous three years, as requested by the relevant entity.
Divide the file into clearly labeled folders or PDFs covering:
